We are also firmly committed to environmental sustainability. The laundering process consumes both water and energy, which is why we make every effort to minimise the environmental impact of our processes. We have invested over £4 million in green initiatives and energy saving measures in recent years. This, alongside other projects, has enabled us to achieve annual carbon savings of 35,000 tonnes and cut our water usage by more than 60%. That's 1.6 million cubic meters saved every year – the equivalent of 640 Olympic size swimming pools. For us, this is just the beginning. Medirest is a leading supplier of cleaning, catering and support services to the healthcare sector.
 
Over several years, Medirest awarded linen and laundry service contracts to Berendsen for specific NHS Trusts clients across the UK on a case by case basis.  These separate contracts were each implemented locally, with the result that important elements such as Key Performance Indicators, product specifications and service levels differed between Trusts.  This naturally made it more difficult for Medirest to have a holistic view of the entire contract, so they could ensure they were delivering the best possible service to clients and drive value from the relationship.
 
Consequently, Medirest decided to re-tender the entire portfolio to gain two key objectives; consistency across sites, and a central contract management and engagement infrastructure to ensure that services were delivered as required and developed to meet the company's changing needs.
 
Anna Hallas, National a+ and Domestic Manager for Medirest, explained "We needed a supplier who could provide a central point of contact to manage and develop the laundry service, along with a formal communications structure.  Because historically Berendsen had implemented each contract locally, we didn't have these in place so it was difficult for us to assess whether Berendsen could meet our evolving requirements".
 
Following a comprehensive tendering process over several months, using the Compass Service Framework, and involving the UK's leading linen and laundry providers, a new contract was awarded to Berendsen.  The Berendsen team then worked closely with Medirest to design an appropriate structure, implementing standardised KPIs and service specifications with a Key Account Director, Paul Pearson, appointed to act as a single point of contact.  
 
A full contract mobilisation plan, a key requirement of the tendering process, was followed to ensure that each aspect was successfully implemented.   Progress during the mobilisation was checked via regular face-to-face meetings and conference calls, with early focus on engagement at all the Medirest sites, as well as all the Berendsen factories involved.  The mobilisation process was completed and formally signed off in January 2012.
 
Paul Pearson said "My role is to ensure that we deliver a high quality and consistent service to all hospitals.  I attend audits and site meetings, monitor compliance with KPIs and help to resolve any issues that arise. I'm in constant touch with the Medirest team and with our own sites and we have a formal quarterly review with senior management from Medirest."

Berendsen's management team spent several weeks visiting the Trust's sites, to work with Trust staff to understand the best possible service method. Craig Jamieson, General Manager of Berendsen's Newton Abbott processing facility, explained "Every customer has different needs, so our service needs to be tailored to each hospital. It's not just about deciding how much linen is required and where it needs to be delivered. The service needs to take into account a wide range of factors, from health and safety procedures and storage space to ensuring delivery vehicles don't disturb local residents".
 
In Berendsen's solution, a trolley is pre-packed with clean linen at Berendsen's site for each specific ward. These are then delivered to the hospitals in a predefined order for distribution by Trust staff. Berendsen will pack the cages with up to 100,000 linen items every week.

In 2014 the Trust identified that the laundry required very significant investment in order to upgrade it to a level where it could provide reliable service in the future. The Trust reviewed the options available and a decision was taken to close the on-site laundry and to outsource the work to Berendsen, following a thorough tender process to identify the optimum service.

Planning the Transition

The Trust's primary concern was to ensure that the transition would be smooth and seamless for patients and staff within the hospital.

Three months before the start date, Berendsen assigned a project team to the Trust comprising operations and customer service people from the Berendsen site which would provide the service. In conjunction with a similar team from the Trust, this group set out a detailed project plan encompassing areas including:

  • Infection control policies incl. colour coding of linen bags
  • Definition and agreement of service level KPI's
  • New product specifications and lead times
  • Logistics and delivery times

The team engaged with all the areas of the Trust to plan the change. Notably, a roadshow visited every single ward to assess its requirements and to familiarise the nursing and medical teams with new products and processes. Roadshows were repeated at different times, to ensure that all the Trust's shift patterns were covered and all staff had the opportunity to ask questions.

Making the Change

On the day of the change, new linen stock was delivered to every ward and delivery point. A Berendsen team assisted the Trust's own porters in distributing the linen.

The Trust's existing linen was packed and is held securely on the hospital sites as a contingency stock in the event of emergency, equating to over three days' linen.

Berendsen's service team was on site every day for two weeks to answer questions and provide assistance whenever required. The team used this time to revisit every ward to ensure that everything was running as planned.

The Trust was also able to call on Berendsen's expertise and engineering team to help safely decommission the existing laundry.

Evaluation

The management team at Calderdale and Huddersfield NHS Foundation Trust regard the changeover process as a complete success.

With a critical need to uphold high standards of hygiene on ward floors, Chesterfield Royal Hospital chose a complete, cost-effective microfibre mop solution, including rental and laundering, from textile services provider Berendsen.

The challenge

Based in the county of Derbyshire and serving a population of well over 400,000, Chesterfield Royal Hospital provides a full range of acute medical services. This includes, among a broad range of speciality services, 24-hour accident & emergency care and specialist children's services. Upholding consistently high standards of room hygiene across the 19 wards in the hospital is vital for infection control and maintaining clean floors is critical to achieving this.

The hospital had previously purchased and used disposable mops but believed that microfibre mops could deliver a more effective, lower cost cleaning performance. Having gained traction across the healthcare sector, microfibre products have been endorsed by the Government, which has publicly recognised the fabric's capacity to remove bacteria from a variety of hospital surfaces more efficiently than traditional cloths. Microfibre mops are also more economical, with studies suggesting that conventional mops cost up to three times as much as microfibre options, over the product's lifetime.

Although microfibre fabric has a high pedigree, it is completely ineffective as a flooring cleaning product for hospitals without a supply of associated hardware, including handles and ergonomically designed trolleys. All of which, if purchased can drive up costs.

The solution

The hospital recognised the benefits of entering into a rental agreement with a healthcare proficient textile and laundry services provider – a remit that Berendsen was able to satisfy thanks to its advanced healthcare laundering facilities and considerable knowledge of and experience within the sector. As a long established, large scale supplier, Berendsen was also able to provide peace of mind for service delivery and contingency as it has the back-up support of additional laundry facilities nationwide. In addition, Berendsen exceeded the hospital's expectations for high levels of infection control. As well as ensuring immediate compliance with CFPP 01:04 ‘Best Practice', all of Berendsen's healthcare facilities are certified to BS EN 14065 laundry processed textiles bio-contamination control system.

Once appointed, Berendsen surveyed every ward in the hospital to identify the exact volumes required, working closely with the hospital's domestic, contract management and infection control teams to ensure all needs were met.

In addition to fulfilling the requirement of providing microfibre mop heads, Berendsen was able to supply the associated hardware, including handles and trolleys, to the hospital's specified requirements, in one inclusive rental agreement. For the hospital, this provided benefits in the form of both reduced hassle and costs – an annual saving of £65,000 has been achieved by the hospital switching from purchasing disposable mops to using rented microfibre mops and hardware from Berendsen.

Implementation

As well as providing the products, Berendsen's services included design and implementation of a detailed collection and delivery process to ensure high levels of infection control and best practice within the hospital. This involved at its most basic level, the washing of the microfibre mop heads in colour-specified net bags, which are sealed at the hospital and unopened until they are returned clean and decontaminated. It also included specific actions throughout the entire process, including transportation, stock reconciliation and laundering. Hospital staff were provided with comprehensive training in the new system as well as guidance documentation and the additional benefit of Berendsen's online support tool, Berendsen Connect.
